“Broken processes, lack of interoperability and legacy systems creating bottlenecks with limited visibility into orders; no software for processes requiring laborious manual data entry.”

Assistant Vice President, Document Processing & Imaging, Physicians Mutual
About the company

Physicians Mutual is a national provider of health, life and retirement products since 1902, and its family of companies includes Physicians Mutual Insurance Company and Physicians Life Insurance Company.
Physicians Mutual Insurance Company offers reliable dental, supplemental health and pet insurance. Physicians Life Insurance Company provides important Medicare Supplement, life insurance, and funeral pre-planning coverage.
Headquartered in Omaha, Nebraska, the companies have over $4 billion in assets and consistently maintain some of the highest financial strength ratings in the nation from independent insurance analysts.
The challenge
Physicians Mutual was processing 200+ orders per day, printing 30M pieces annually through manual processes.
The company had no software processes in place, resulting in bottlenecks and limited visibility across their organization. The Master Scheduler was required to walk the floor to understand job status and meet SLAs.
Key Requirements
Integration of Legacy Systems, Automating Manual Tasks to Increase Overall Efficiency
A comprehensive overhaul was needed to remove the inefficiencies created by legacy systems and the lack of interoperability. Moving forward with a Workflow Automation (WFA) Services plan was essential.
ePS Avanti, a next-generation Print Management Information System (MIS)
, brought business intelligence, production planning, shipping, and billing into one platform to solve the following:
- Broken Processes
Lack of interoperability was slowing down production and overall shop efficiency. - Limited Visibility
Legacy systems were creating unnecessary siloed bottlenecks and waste. - Manual Data Entry
No automated processes required laborious data management and reporting. - Delayed SLA Execution
Lack of scheduling and manual job tickets prevented speed to market.
The Solution
Aji George, Assistant Vice President of Document Processing & Imaging at Physicians Mutual, had a large team working on 200 new print orders daily with 30 million pieces printed annually. Print jobs required manual steps, including repetitive data entry into a database —and then again into their accounting system — making tracking orders difficult. Reporting was a heavy lift without technology, and managers had to walk the floor asking for status updates frequently.
When the time came to reassess print vendors, George wanted quality, reliable products, and a strategic, trusted partner to help him create a state-of-the-art facility, and optimize managed print service benefits.
“My goal is to always look five years forward, innovate, and strive to be the best,” George explained. “Our biggest challenges were bottlenecks with our printers. We turned to Ricoh to be a strategic partner and they gave us exactly that.”
